Patient check-in system · For GP practices & NHS
Check-in that doesn't queue at your desk.
Patients arrive, confirm who they are, and take a seat — on a touchscreen or their own phone. Reception gets its mornings back.

How patients check in
Jayex Check In is a self check-in system for GP practices and NHS clinics. Patients check in at a touchscreen kiosk or on their own phone. Their arrival is marked in your clinical system, and they’re told where to wait. No queue at the desk, no one reading out names.
Touchscreen kiosk
Large-format, wipe-clean screens at standing and wheelchair height. They can be wall-mounted, desk-mounted or freestanding — whichever suits your entrance.
Their own phone
Patients scan a printable QR code on the door, a noticeboard or an appointment letter. There’s no app to install. You can set a location radius so mobile check-in only works near the practice, and if a phone check-in can’t complete, the patient is shown your practice number.
Accessible by design
40+ languages, a high-contrast theme for visually impaired patients, and a wheelchair-height interface. Your usage reports show which languages patients actually choose, so you can add the ones your community uses.
What a check-in looks like
The patient taps in. They confirm who they are using the details you choose to ask for, such as date of birth.
Their arrival is marked in your clinical system. EMIS Web, SystmOne or Vision — with no re-keying at reception.
They’re told where to go. A clear arrival message and directions to the right waiting room. A patient your team has flagged is discreetly sent to reception instead.
Your team sees it. Clinicians see the patient has arrived. With Jayex Calling added, they can call them through from the same system.
Integration
Works with your clinical system — without depending on your PCs
Native integration with EMIS Web, SystmOne and Vision (including LAN, hosted and Aeros), and HL7-ready for hospital PAS environments. The integration runs on a dedicated Jayex PC we supply, so check-in doesn’t depend on a reception machine being switched on.
It’s ours to run and maintain. There’s nothing for your team to install and nothing on a front-desk machine to go wrong.
Arrival rules that match your appointment book
Set how early and how late patients can check in before or after their appointment, for each screen. We recommend setting both a couple of minutes inside your clinical system’s DNA rule, so the two never disagree. You can also:
- Speed up check-in for frequent visitors
- Exclude appointment types that shouldn’t use self check-in
- Set screen timeouts and how date of birth is entered
More than an arrival tick
The moment a patient checks in is a rare few seconds when they’re standing still with nothing to do. Check In can use it.
Keep contact details current
Ask patients to confirm or update their address, mobile number, email and next of kin as they check in, with consent captured for email and mobile contact. Every change waits for your team to review before it goes near the patient record. Correct numbers mean your reminders reach the right patient.
Ask coded health questions at check-in
Switch on SNOMED CT questions on alcohol, asthma, carer status, diabetes and smoking, and patients answer them on the screen. Your team reviews the responses before they’re added to the record. In EMIS you can approve them in bulk. Clinicians spend less of the appointment on routine questions.
Sends patients to the right waiting room
Larger or multi-floor sites can create named waiting rooms and assign them to clinicians. You can also upload a wayfinding map for each touchscreen, so every patient is directed to the right place as they check in. Branch sites run from the same account, and every screen is managed in one place.
Patient routing, handled with discretion
Not every patient should be sent to the waiting room.
Flag the patients your team needs to see first; when they check in, the screen discreetly directs them to reception instead of a seat. No announcement, no explanation on screen — just the right patients, quietly routed the right way.
See how check-in is working
Usage reports show:
- How many patients checked in at the touchscreen versus at reception
- Which check-ins failed, and why
- How long check-ins take, and which languages patients use
Use them to adjust arrival rules, add a language, or move a screen somewhere patients will actually see it.
Fitted properly, from day one
Every installation starts with a site survey — positioning, mounting, cabling and footfall are all considered before anything goes on a wall. We can usually install within two weeks of your order. Our engineers set everything up on-site, working around your clinics.
Hardware carries an enhanced warranty with on-site engineer swap: if it fails, we come to you. Your team gets short training videos for every setting and UK-based support (rated 4.7/5 for customer support — May 2026 customer survey, n=183).

Better together
Check In + Calling = Connect Patient Flow — and QView comes included.
Add patient calling and your team gets the live waiting-room view that changes how the whole morning runs.

Questions practices ask us about check-in
- Does it work with our clinical system?
- Yes. Jayex Check In integrates with EMIS Web, SystmOne and Vision (including LAN, hosted and Aeros), and it's HL7-ready for hospital PAS environments. If you're on something else, ask us. You'll get a quick, honest answer either way.
- Can patients check in on their own phones?
- Yes. Patients scan a QR code on your door, noticeboard or appointment letter and check in in their browser, with no app to download. You can limit mobile check-in to patients near the practice and set your own messages for early, late or already-checked-in patients.
- What hardware do we get?
- A touchscreen check-in kiosk (wall-mounted, desk-mounted or freestanding) and a dedicated Jayex PC that runs the clinical-system integration. Every installation starts with a site survey. Hardware carries an enhanced warranty with on-site engineer swap.
- What happens if a reception PC dies or gets switched off?
- Nothing, for check-in. Most systems run their clinical-system integration on one of your reception PCs: switch it off and check-in stops. Ours runs on a dedicated Jayex-supplied PC, so it doesn't depend on your front-desk machines. And if our hardware ever fails, an engineer comes to you and swaps it on-site.
- Is self check-in accessible for all our patients?
- The screens are mounted at wheelchair height and offer 40+ languages and a high-contrast theme for visually impaired patients. Patients who'd rather not use the screen can still check in at reception, and your usage reports show the split.
- We already have a check-in system. How painful is switching?
- Less than you'd think. Lead times vary, but we can usually install within two weeks of your order. Our engineers set everything up on-site around your clinics, and your team gets training videos and UK-hours support from day one (rated 4.7/5 for customer support — May 2026 customer survey, n=183).
- How much does a patient check-in system cost?
- We don't publish pricing, but we'll give you a straight answer fast. Tell us which services you're interested in and you'll have a quote quickly, without a sales marathon. Get a quote
